This Privacy Policy explains how PocketDine and Ninjas Tech Lab collect, use, disclose, and protect information when you use the PocketDine mobile application, web dashboard, and related services.
Last updated: August 22, 2026
1. Information We Collect
We collect information needed to operate a restaurant management and point-of-sale platform. The categories below depend on how you use PocketDine (for example, as restaurant staff on mobile, as a manager on the web dashboard, or as a customer viewing a public QR menu).
- Account and staff information (name, mobile number, optional email, role, and login credentials).
- Restaurant and business information (restaurant name, contact details, address, business type, tax identifiers such as GSTIN, branding, and configuration settings).
- Operational data (menu items, categories, tables, orders, kitchen tickets, payments, shifts, expenses, and audit activity within your restaurant).
- Optional customer-related fields entered by staff (for example, a customer name on takeaway or counter orders).
- Device and technical information associated with registered devices and app sessions.
- Images you choose to upload (restaurant logo, menu item photos, expense receipt attachments, or UPI QR images for payment configuration).
2. Account and Login Information
Staff and administrators sign in with a registered mobile number and password. Passwords are stored using industry-standard hashing; we do not store plaintext passwords.
On the mobile app, you may optionally set a device-local PIN or use your device's biometric unlock (such as Face ID or fingerprint) to re-enter the app after a session lock. PINs are stored only on your device in secure storage. Biometric authentication is handled by your device's operating system; PocketDine does not receive or store fingerprint or face data.
We maintain session tokens and refresh credentials to keep you signed in securely across app restarts, subject to your subscription, license, and device registration status.
3. Restaurant and Business Information
Restaurant owners and managers can enter and maintain business profile information, including restaurant name, phone, email, address, owner name, business name, GSTIN, FSSAI details where applicable, receipt settings, payment configuration, and other operational preferences. This information is used to run your restaurant account and produce customer-facing materials such as receipts and public menus.
4. Device Information
PocketDine uses device registration to manage licensed devices per restaurant subscription. When you sign in on mobile, the app may send:
- A persistent installation identifier created on your device.
- Device metadata such as platform (Android or iOS), device name, operating system version, and app version.
- Registration and activity timestamps (for example, last login and last active time).
This helps enforce device limits, protect accounts, manage active sessions, and support subscription and license compliance. We do not use this information for unrelated advertising or cross-app tracking.
5. Usage and Technical Information
When you use PocketDine, our servers may record technical data needed to deliver the service, such as request timestamps, API activity related to your restaurant operations, and audit logs of significant actions (for example, order changes, payments, staff updates, and shift events). This supports reliability, troubleshooting, and accountability within your restaurant account.
The web dashboard may use real-time connections (for example, Socket.IO) to refresh operational views when connectivity is available.
6. Menu and Order Information
PocketDine stores menu categories, items, variants, pricing, and images you configure. Order data includes items ordered, quantities, statuses, table or counter context, guest seating details where enabled, token queue information, kitchen ticket (KOT) data, discounts, taxes, and totals.
Staff may optionally enter a customer name on certain orders (for example, takeaway or counter flows). PocketDine does not require customers to create accounts to view a public QR menu.
7. Payment Information
PocketDine records payment transactions for restaurant orders and shifts, including amount, payment method (such as cash, card, UPI, or counter dynamic UPI QR), optional notes, and the staff member associated with the transaction.
PocketDine does not store full card numbers, UPI credentials, or bank account passwords. Restaurants may configure a UPI merchant ID and merchant name for dynamic QR payments; payment confirmation for UPI QR flows is handled within your restaurant's operational process. Subscription and commercial plan data for your restaurant account are managed on the platform side and are separate from in-store customer payments.
8. Camera and Photo Library Access
The mobile app may request camera or photo library access when you choose to capture or select images—for example, a restaurant logo, menu item photo, or expense receipt attachment. Images are uploaded only when you initiate that action. The app does not access your camera or photos in the background without your interaction.
On the web dashboard, staff may upload images (such as a UPI QR image for payment configuration) through the browser file picker.
9. Notifications
The mobile app may request notification permission so you can receive alerts related to restaurant operations when that feature is enabled on your device. You can manage notification permission in your device settings. If permission is disabled, some alert features may not work as expected.
10. Bluetooth and Printer Connectivity
The mobile app may request Bluetooth permissions to discover and connect to supported receipt printers. Bluetooth is used for printer connectivity, not for location tracking. PocketDine does not request location permissions on Android for this purpose.
11. Data Storage
Restaurant operational data is stored in secure cloud infrastructure associated with your PocketDine account. The mobile app also stores certain data locally on your device—including session credentials, optional PIN, offline entitlement state, and a queue of pending operational updates—to support faster sign-in and limited offline use.
12. How We Use Information
We use collected information to:
- Provide and operate PocketDine (POS, orders, kitchen, billing, reports, expenses, and settings).
- Authenticate users, manage devices, and enforce subscription and license limits.
- Display public QR menus when enabled by a restaurant.
- Generate receipts, reports, and audit history for your restaurant.
- Maintain security, prevent misuse, and comply with legal obligations.
- Improve reliability and support troubleshooting.
13. How We Share Information
We do not sell personal information.
We may share information only:
- Within your restaurant account, among authorized staff according to role and permissions.
- With service providers that host, store, or process data on our behalf under confidentiality and security obligations (for example, cloud hosting and database services).
- When required by law, regulation, legal process, or to protect rights, safety, and security.
Public QR menus display restaurant branding and menu information you choose to publish; they do not expose staff credentials or private account data.
14. Data Security
We use reasonable administrative, technical, and organizational safeguards to protect information against unauthorized access, disclosure, alteration, or destruction. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
15. Data Retention
We retain information for as long as needed to provide the service, meet legal and accounting requirements, resolve disputes, enforce agreements, and support restaurant operational history. Retention may vary based on your restaurant's use of the platform and applicable law.
16. Your Rights and Choices
Depending on your jurisdiction, you may have rights to access, correct, update, or delete certain personal information, or to object to or restrict some processing.
Restaurant staff should contact their restaurant owner or manager for account changes within a tenant. Restaurant owners and platform administrators can manage staff accounts, device registrations, and business profile data through PocketDine settings where those features are available. To request account or data changes, you may also contact us at ninjastechlab@gmail.com.
17. Children's Privacy
PocketDine is a business application for restaurants and is not directed at children. We do not knowingly collect personal information from children under 13 (or the applicable age in your region) for consumer sign-up. If you believe a child has provided personal information through PocketDine, please contact us so we can take appropriate steps.
18. Third-Party Services
PocketDine is built with established open-source and commercial components (for example, database, authentication, and real-time communication libraries). We do not embed third-party advertising or consumer analytics trackers in the mobile app based on the current application configuration.
Your device operating system, browser, cloud hosting provider, and network provider may process data according to their own policies when you use PocketDine.
19. Offline Functionality
The mobile app supports limited offline operation for entitled devices. When connectivity is unavailable, certain session and entitlement data may be stored locally so you can unlock the app and continue limited workflows. Some operational changes (such as kitchen or table updates) may be queued on the device and sent when connectivity returns.
Offline access is subject to your restaurant's subscription, license, and device registration status. If entitlement expires, the account is suspended or deactivated, or a device is revoked, offline access may end and you may need to sign in again when online.
20. QR Menu
When a restaurant enables QR Menu, customers may scan a QR code to open a public menu page on the restaurant's PocketDine subdomain (for example, your-restaurant.pocketdine.in/menu). This view shows menu information made public by the restaurant. QR Menu is for menu viewing; customer self-ordering through QR is not part of the current production release.
21. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect legal, technical, or business changes. Material updates will be reflected by revising the "Last updated" date on this page. Continued use of PocketDine after an update means you accept the revised policy.
